Major VAT changes in January 2010
Users of Dimensions or
Dimensions Lite have three options available to help with the VAT changes.

Option 1 - no software
changes, simply update the VAT percentage rates

Option 2 - apply a
service pack to your existing version of Dimensions or Dimensions
Lite
-
Option 3 - upgrade to
Dimensions or Dimensions Lite version 2.50b
These options are
described in more detail below.
Option 1 - no software
changes, simply update the VAT percentage rates
All versions of Dimensions
and Dimensions Lite can cope with the changes to the VAT rate without
making any software changes at all.
This is done by
editing the VAT percentage rates in System Control on 1st January
2010, you will then need to edit any relevant batched invoices in
the sales and purchase ledgers, as well as recurring VAT journals,
followed by batched Sales Orders and batched Purchase Orders in
order for the VAT value on these transactions to be recalculated at
the new rate.

If you do not submit
an EC Sales List or deal with EU services then Option 1 may be all
that you need.
Option 2 - apply a
service pack to your existing version of Dimensions or Dimensions
Lite
Access have released a
service pack for all new versions of Dimensions and Dimensions Lite
released since 2007. After changing the VAT rates per the above
instructions, the service pack adds an additional VAT utility to
your software which will recalculate the VAT values on your batched
Sales and Purchase Orders in one step.
This will be useful
for users who will have a large number of batched orders on 31st
December 2009.
These service packs
also add the required functionality for the new EC Sales List format
and Reverse-Charge EU Services VAT transactions.

is available for the following versions of Dimensions and Dimensions
Lite:

NB Please note that
the service pack installer includes an option to update several ACD
(Access Crystal Design) document layouts. If you are using
customised Crystal document layouts please DO NOT
install these updated versions, otherwise your custom layouts will
be overwritten with default ones.

Option 3 - upgrade to
Dimensions and Dimensions Lite version 2.50b
This new release of
Dimensions includes all the functionality of the above service
packs, plus one additional feature which allows the historical VAT
rate for transactions dated 1st December 2008 to 31st December 2009
to be stored in the transaction history.
This helps with
historical transaction lookups and primarily helps with reprinting
invoices which used the 2009 15% VAT rate. Please note though that
if you use customised Crystal invoice layouts then they will have
to be modified further to take advantage of this feature.
An upgrade to
Dimensions/Dimensions Lite version 2.50b is of course available free
to all users who have a current Annual Licence upon request. However
you should consider the need for planning and scheduling the timing
of an upgrade as it involves a full version installation on all PC
workstations, as well as possible development work requirements for
your Crystal documents. Should you require assistance from Caletech
for installation or Crystal development work then this will also
have to be scheduled and may involve consultancy costs.

Dimensions 2.50b is
not available as a download, however advice on how to use the extra
historical VAT functionality in this version is outlined in Appendix
2 of the above PDF
document.
